GENERAL INFORMATION & POLICIES
Carondelet Center is a host facility for conferences, and retreats and is a ministry of hospitality and welcoming sponsored by the Sisters of St Joseph of Carondelet, St Paul Province, and Consociates (CSJ). Carondelet Center welcomes external organizations and individuals not affiliated with the Sisters of St Joseph to contract its facilities.
ROOM SCHEDULING The Event Coordinator handles all room/banquet scheduling. First priority is always extended to the CSJ Ministries.
RESERVATIONS All reservations are made through the Event Coordinator. Reservations are not accepted more than 6 months in advance for outside groups. Carondelet Center reserves the right to substitute a room at any time, based on CSJ activity. If a different room is unavailable for your group, your event is subject to be canceled with full refund. All meals will be served in your reserved room. If you would like an additional meal room, there will be an additional charge based on the room selected. Carondelet Center is proud to use all linen during your event in keeping with the mission of the CSJ’s in protecting our environment. Paper napkins and placemats are available at an additional charge. Room rental includes set up, and clean up, dishes, glassware, flatware and table linens. Guests are required to use ONLY the room they have rented. If other spaces are used, there will be an additional room charge and another charge of $25.00 per hour, per staff member for room clean up.
DEPOSITS A 25% deposit is required on all non-CSJ food events with guest numbers exceeding 50 people. This deposit is applied toward your final bill.
CANCELLATIONS Policies are as follows:
- 21 days prior to your event: 100% refundable
- 49 hours to 20 days prior to your event: 50% refundable
- Within 48 hours of your event starting time: forfeiture of deposit.
EVENT CONTRACTS An event contract will be generated upon making your reservation. A signed copy of the contract and a deposit are required before an event is considered definite. If your group has an outside contractor speaking or presenting, prior approval of Carondelet Center Director is required.
PAYMENT Final invoices are sent out one week after your event. Invoices are required to be paid in full within thirty days of the billing statement. Payment can be made in cash, check or credit card. Please make check out to Carondelet Center.
SALES TAX All food, beverage and equipment are taxed at a rate of 7.625%. All guest rooms are taxed at a 10.625% tax rate. All organizations are subject to taxes, even tax exempt organizations.
FOOD & BEVERAGE All Food and beverage must be purchased through the Carondelet Center Event Coordinator. Outside food and beverage is not allowed in accordance to health department rules and regulations in the state of Minnesota. Guests may take their food home after their event; however, we encourage a food donation to one of our Province Ministries. Meals will be served in your group’s banquet room at the time that was requested by your group’s contact person. If a specific “meal room” is requested, there will be an additional room charge. Clients that bring in food or beverage from an outside source will be charged a surcharge and an additional amount of $25.00 per hour, per staff member.
MENU SELECTION Guests of Carondelet Center are required to notify the Event Coordinator within two weeks of your event if you will need food and beverage. Accurate menu selection is required one week prior to the event and guest count guarantees are required no later than two business days before your event by 12:00PM.
MENU CHANGES Food orders may be changed up until 8:00AM the business day before your event. Your event will be charged for the guaranteed count or the actual count served, whichever is higher.
ADDITIONAL LABOR CHARGES Additional staff will be required for all events that exceed the building hours. The charge is $25.00 per staff hour, per staff member.
ALCOHOL CONSUMPTION Carondelet Center does not purchase, provide, sell or serve alcohol. Alcohol may be served, but requires a Certificate of Insurance from the guest. If Certificate of Insurance is present, Carondelet Center staff is not licensed to open or pour any alcoholic beverage. CSJ Province events reserve the right to serve alcohol based on religious services. Your group leader is responsible for NOT serving any alcohol to any persons under the legal drinking age.
AUDIO VISUAL Audio visual equipment is available for rent at Carondelet Center. Sound levels for AV equipment and PA systems are required to be controlled and maintained by staff only.
HOURS OF OPERATION All events must fall within the hours of Carondelet Center or be subject to further charges. The center is open Monday through Friday from 8:30AM to 9:00PM and Saturday and Sunday from 8:00AM to 8:00PM.
STORAGE Carondelet Center does not have storage facilities for events. All items must be removed after the event.
PARKING Carondelet Center has parking for over 100 guests. Please do not park at St. Catherine University as you may be ticketed and/or towed.
SMOKING Carondelet Center is a smoke-free campus. Smoking is not permitted on our property.
CANDLES Candles must be completely enclosed in glass containers and never left unattended. Burning of incense, sage or other materials is not permitted without prior approval from Carondelet Center Director.
RENTER RESPONSIBILITY The renter is responsible for the following:
- Leaving all rented areas in a clean, orderly fashion, including replacing items that were moved.
- Using only the rented space outlined in their contract.
- Relaying any and all event information. Changes may result in additional charges.
- Notifying staff of any spills or breakage that may have occurred during your event.
- Proper use of recycling containers throughout the building.
LIABILITY The sponsoring person/group assumes responsibility and liability for losses, damages and/or claims arising out of injury, damage or loss to participants, exhibitors or employees, or to any other persons whose injury or loss was a result of the sponsoring persons/group’s event; it shall indemnify Carondelet Center, it’s agents and employees, from any and all such losses, damages and claims. | |
